Grade Conversion in Germany: Why Translators Don't Calculate Your GPA

Wondering if your certified translation will include a converted GPA? It won't, and for good reason. Sworn translators translate your grades exactly as they appear. The actual conversion happens later, handled by universities, uni-assist, or recognition authorities using their own official formulas.

Why does it need to be certified?

In Germany, official translations must be done by a vereidigter Übersetzer, a translator officially sworn in by a German court. These translators are legally required to translate documents exactly as they appear, without adding, changing, or interpreting content. This means they translate your grades and any grading scale printed on your certificate, but they cannot calculate a GPA or convert marks into a different system. That would be considered adding unofficial content to a legal document.

Who Actually Converts Your Grades?

Here's the key insight many applicants miss: grade conversion and translation are handled by completely different organisations. Understanding this separation saves you time, money, and frustration.

1

You gather your documents

Collect your original certificate or transcript, including any pages showing the grading scale or legend.

2

We translate everything faithfully

A sworn translator converts every word into your target language, including all grades and the printed grading key. Nothing added, nothing removed.

3

You submit to the right authority

Your university, uni-assist, or recognition body receives your certified translation along with any required originals.

4

They convert your grades officially

Using their own formulas (often a variant of the Bayerische Formel), they calculate your equivalent German grade or GPA.

5

You receive the official result

Only this conversion counts for your application. Online calculators and self-made conversions are not accepted.

Good to know

There is no single "grade conversion authority" in Germany. Different bodies handle it: universities use their own admissions formulas, Anabin provides reference data for recognition authorities, and professional chambers assess vocational qualifications. Each follows different guidelines, which is why your converted grade may vary depending on where you apply.

When You Need Grade Translations

Whether you're applying to a German university with a foreign degree or taking your German Abitur abroad, the pattern is the same: you need a certified translation, and someone else handles the conversion.

Master's Application in Germany

You hold a foreign Bachelor's degree and want to study in Germany. The university or uni-assist converts your grades using their formula.

Studying Abroad with German Abitur

You're German and applying to universities in the USA, UK, or Canada. The foreign university or services like WES convert your German grades to their system.

Professional Qualification Recognition

You're a skilled worker seeking Anerkennung of your foreign degree in Germany. Recognition authorities assess equivalence, including grade interpretation where relevant.

High School Exchange Year

Your child is doing an exchange year abroad or returning with foreign school reports. The local school or school board decides grade equivalence and class placement.

  • School reports
  • Subject overview with weekly hours
  • School letter confirming grading scale

Checklist: What to Include for Smooth Grade Conversion

The most common complaint on applicant forums? "My grades were converted wrong because the scale wasn't included." Avoid this by sending us everything the receiving authority needs.

  • Complete certificate or transcript (all pages, front and back)
  • Grading scale or legend page (often on the reverse or final page)
  • Explanation of minimum passing grade from your institution (if not printed)
  • Any supplement showing how grades are calculated (ECTS scale, percentage breakdown)
  • Clear scan or photo where all text is readable

Why the grading scale matters

When uni-assist or a university doesn't receive the grading scale, they may assume incorrect minimum passing grades or scales. This often results in a worse converted grade than you actually deserve. Many applicants only discover this after receiving an unexpectedly low result, leading to complaints and appeals that could have been avoided.

Your Questions About Grade Conversion

Do translators convert my grades into a different grading system or calculate a GPA?

No. Sworn translators translate the marks and any grading scale or explanatory text printed on your document. They are legally required to translate exactly what appears, without adding their own conversion tables or interpretations. Grade conversion is handled separately by universities, uni-assist, or recognition authorities, each using their own official formulas. If you want to estimate your GPA beforehand, check the calculator or information pages of your target institution, but remember those estimates are not part of your certified translation.

How long does a certified translation of my transcript take?

Most certified translations are completed within 3 to 6 business days. You receive the PDF by email first, followed by the original with stamp and signature by post. Keep in mind that grade conversion by universities or recognition bodies happens after you submit your translation, and those institutions have their own processing times, often several weeks. Plan accordingly, especially for application deadlines.

Is the translation fee separate from grade conversion costs?

Yes, completely. Our fee covers the certified translation of all visible grades, subjects, and the printed grading scale. Any grade conversion or credential evaluation is charged separately by the body that performs it, such as uni-assist, WES, or recognition authorities. These are different services provided by different organisations.

Do I need to send the original certificate, or is a scan enough?

A clear scan or photo is sufficient for us to create the certified translation. The translator notes in the certification that the translation was made from a copy. For grade conversion purposes, universities and uni-assist typically accept clear scans including the grading scale. However, always check the specific submission requirements of your target institution, as some may want to see originals at a later stage.

Will my translated grades be officially accepted by German universities?

Certified translations by sworn translators (vereidigte Übersetzer) are accepted by German universities, uni-assist, and recognition authorities. The translation itself is the accurate record of what your original document says. However, the final converted grade depends on the formula used by the receiving institution, and this can vary. The HRK recommendations note that there is no universally binding conversion method, so different universities may calculate slightly different results from the same transcript.

Documents Often Needed Together

Abiturzeugnis

The German school leaving certificate for university entrance, commonly translated for study abroad applications.

School Reports

For exchange programmes or family relocations, schools abroad need translated reports to assess grade equivalence.

Transcript of Records

University grade records are central to Master's applications and professional recognition processes.
